Recipe Spec Sheets

An operator-built card builder for UK cafés and restaurants. Write every dish down once, with its cost, its allergen line and its target plate weight. Then weigh three plates a week and let the sheet price the drift.

A spec sheet is a control, not a document. This one comes with the two habits that make it hold.

  • 9tabs
  • 14allergens, FSA names, read 15 Oct 2026
  • 266formula checks, 0 failures

For: The owner or head chef of one independent café, coffee shop or small restaurant in the UK whose recipes live in heads and on phones, and who wants every dish cooked, plated, costed and declared the same way by everyone.

Recipe Spec Sheets

A spec sheet is a control, not a document.

Every dish written down once, with a target plate weight, a derived allergen line and the one thing to watch. Then the weigh-in routine and the change log that make it hold. Excel, Google Sheets and Word.

What a blank template cannot do

Four things built in

  • Tag an ingredient’s allergens once; every card that uses it inherits them
  • Pick a dish, print a one-page card: ingredients, method, checks, cost, GP%, plate range, plating, photo
  • Weigh three plates, three times a week; the sheet prices the drift in pounds a week
  • A change log that asks the allergen question before a card is re-issued

How it works

Tag. Build. Print. Weigh.

  1. 1Tag each ingredient’s allergens once and build each recipe and method
  2. 2Add the dish’s target plate weight, price and the one thing to watch; print the card
  3. 3Weigh three plates a week and log them; read what the drift costs

In detail

What it does, and what it does not.

Most kitchens have a recipe somewhere. Few have a spec that holds, because a spec only holds when somebody weighs a plate against it and when a changed ingredient reaches the card and the front of house. This pack is the card plus the two habits.

The card builder

Nine tabs in one Excel file. Ingredients, with pack size, price, yield and the 14 allergens tagged once per ingredient. Recipes and Method, with quantities in grams, millilitres or items, prep notes and a critical check per step. Dishes, where cost, GP%, the allergen line and the plate-weight range are worked out. Card: pick a dish from a dropdown and a one-page spec card fills in, ready to print and laminate.

The two habits

Plate check: three plates, three times a week; the sheet gives the average, the drift against the target, a status against your tolerance, and what the drift costs a week on that dish. Change log: every spec change with the allergen question answered and a count of cards still waiting to be re-issued.

The one thing to watch

Every card names the component that drifts or fails most often, in one sentence at the top, because a cook with one instruction follows it.

Allergens, in plain words

The 14 allergens with the FSA’s names, how allergen information may be given for food sold loose, and what prepacked-for-direct-sale food must carry, read from the FSA’s guidance on 15 October 2026, with links. And the line that matters: you must verify the allergens in your own recipes with your own suppliers, every time an ingredient changes.

The editable Word card

The same card as a Word document, blank and filled, for kitchens that would rather fill in a page. It opens in Word, Pages and Google Docs.

What it is not

Not stock control, not a full front-of-house allergen matrix (that is the Allergen Matrix), not a menu-costing tool for the whole menu (that is the Menu Costing & GP Calculator; the two share the same ingredient layout). Not legal or food-safety advice.

What you get

An illustrative copy with a fictional café’s seven dishes specified end to end; a blank copy; the Word card; and the seven-page pack with three example cards. Formulas locked without a password, no macros, every function also in Google Sheets.

Who it is for

The owner or head chef of one independent café, coffee shop or small restaurant in the UK.

Who it is not for

Groups with a recipe-management system. Anyone wanting only an allergen matrix or only a costing tool.

Inside the file

Three of the nine tabs.

Real values from the illustrative copy. The Corner Café is fictional and its allergen tags are examples, not statements about any real product.

The Card tab: a one-page spec card for one dish with ingredients, method, checks, cost and plate-weight range
The Card: pick a dish from the dropdown and the one-page spec fills in, ready to print and laminate.
The Dishes tab with cost, GP%, plate-weight range and the derived allergen line for each dish
Dishes: cost, GP%, the plate-weight range and the allergen line, derived from the ingredient tags.
The Plate check and Change log tabs: weigh-ins against target with drift status, and spec changes with the allergen question
Plate check and Change log: three plates against the target, the drift priced per week, and every change with the allergen question answered.

Before you buy

  • Not advice. This pack shows a method. It is not legal or food-safety advice. You must verify the allergens in your own recipes, with your own suppliers, every time an ingredient changes, and keep the information you give customers accurate. Check the FSA’s guidance and your local authority’s requirements. The “At the table” notes are one operator’s experience; your trade, your site and your customers will differ.
  • Figures dated. Version 1.0, 15 October 2026. Allergen guidance read at source on 15 October 2026; the Settings tab says where and when to re-check. The sample café is fictional and its allergen tags are examples, not statements about any real product.
  • How it was made. Built by code from the author’s method. The text, including the “At the table” notes, was drafted by an AI system (Claude, Anthropic) from the author’s experience and approach, then edited, checked and approved by the author, who is responsible for every figure and every judgement in it. No AI imagery; the cover is typographic.
  • Corrections. Confirmed errors are fixed within fourteen days and buyers are emailed the corrected file.
  • Refund. Full refund on request for 14 days.

Questions

Does it work in Google Sheets?
Yes. Upload the Excel file to Google Drive and open it with Sheets. Every function in it exists in Sheets; there are no macros. The Word card opens in Word, Pages and Google Docs.
What makes this different from a free recipe template?
The boxes are the same. What is not in a template: an allergen line derived from ingredient tags, so a changed ingredient changes every card; a target plate weight with a weigh-in routine that prices the drift; and a change log that asks the allergen question before a card is reprinted. Those come from running kitchens.
Does it do the allergen matrix for the counter?
It gives each dish its allergen line. The full front-of-house matrix is the Allergen Matrix, the next product in the line, and it reads the same ingredient tags.
How many dishes?
Up to 60 dishes, 300 recipe lines and 150 ingredients. Need more? Email and we will send a larger copy.
Can I change the formulas?
Yes. Sheets are protected without a password so you do not overwrite a formula by accident. Review > Unprotect Sheet removes that.
Is this food-safety or legal advice?
No. It shows a method. Verify allergens with your own suppliers and check the FSA’s guidance and your local authority’s requirements.
I already have the Menu Costing & GP Calculator. Do they talk to each other?
The Ingredients and Recipes tabs are the same shape, so you can paste between them.
